    GRADE:                  04/ESPBC ($23.13- $38.79 Hourly Base Pay Scale for Non-Exempt Office Professionals, Clerical and Classified Employees Represented by ESPBC, effective July 1, 2024)
     
    DEFINITION:        Performs comprehensive general and accounting clerical duties in support of a program, department, or office.  Processes invoices and related accounts payable documents.  Process procurement documents.  Performs other duties as assigned.


    EXAMPLES OF DUTIES:
    Receives, reviews, and processes invoices for a variety of payable accounts.  Resolves discrepancies, which may require extensive research, involved with purchase orders, invoices, receiving confirmations, invoice approvals, and purchase order verifications to ensure that payments to vendors can be made promptly.
     
    Process reimbursements to schools and travel and mileage reimbursements for employees. Ensure compliance with travel policies, rules, and procedures.
     
    Confers with schools, offices, and vendors in an effort to resolve problems and answer questions regarding invoices, purchase orders, and payments.
     
    Makes ledger and journal entries by exact amounts, dates, and accounts.
     
    Scan and process vendor invoices, reimbursements and other accounting documents through the document management system.
     
    Enters, retrieves, and compiles information using Advantage Financial and other automated information systems.
     
    Reviews, prepares, and processes records, forms, and similar documents according to rules, regulations, policies, and procedures.  Reviews documents for completeness and accuracy.
     
    Codes, enters, and retrieves information using automated database systems and software.  Prepares and processes work orders, requisitions, vouchers, invoices, journal entries and other standard office forms.  Gathers information required for reports.
     
    Receives, distributes, and files documents.  Sets up and maintains databases, spreadsheets, and logs.  Enters and retrieves information from databases.  Organizes and maintains electronic and paper document filing systems.

    Verify accuracy of accounts payable checks before mailing.
     
    Receives and responds to requests for information.  Provides information to callers regarding office programs, services, and procedures.
     
    MINIMUM QUALIFICATIONS:
    Education, Training and Experience
    Possession of a high school diploma or appropriate equivalent.  Five years of office clerical experience.  Experience with fiscal and/or accounting duties preferred. 
     
    Note: Other combinations of applicable education, training, and experience that provide the knowledge and skills necessary to perform effectively in the class may be considered.

    PHYSICAL AND ENVIRONMENTAL CONDITIONSThe work of this class is generally sedentary and performed in an office environment.  Work includes the operation of office equipment, including personal computers, and occasional limited physical activities.

    This class specification defines the types of duties and level of difficulty of work required of positions in this title.  It shall not be held to exclude duties not mentioned nor limit the right of management to assign work to employees.

    Pre-Employment Requirements:
    • All persons employed by the Baltimore County Public Schools, regular and temporary, are required to be fingerprinted and have a criminal background investigation (per COMAR) completed. The fee charged for fingerprinting is $109.  An identification card will be issued which must be shown prior to employment. 
    • Anyone offered employment is required to provide proper identification and documentation of eligibility for employment in the US. 
    • If you have military experience, you will be asked to provide a copy of DD214. 
    • Official transcripts for all higher education must be received prior to contract signing. 
    • Some positions will require employees to undergo a physical examination.
    • All newly hired personnel must attend a Badges and Benefits session. 
    • Additional job verification will be required for salary credit.
